BASIC FUNCTION/PURPOSE

The Head Secretary works with the Building Principal on establishing and maintaining the office management. Activities include assisting students, teachers, parents and enrolling new students.

The employee performing the duties of this position is frequently required to walk, sit, talk, hear, bend, stoop, and reach. The employee may be occasionally required to manually lift, move, or carry up to 50 pounds. The employee is required to interact with staff and meet the demands of several different people. The employee is responsible for the ! work output of others. The employee occasionally works extende! d hours. Vision abilities required by this job include close vision, distance vision, depth perception, and the ability to adjust focus.

PERFORMANCE RESPONSIBILITIES

1. Answer the telephone and take messages and handles problems and situations that arise.

2. Assist parents with enrolling and enrollment activities and filters information to appropriate channels.

3. Perform various secretarial duties (copying material, maintaining records and files and v! arious typing tasks).

4. Responsible for assisting students with health problems if nurse is unavailable.

5. Keeps inventory and requisitions for supplies and organizes incoming material.

6. Keep records and collects for various accounts and school funds.

7. Assist teachers with various material projects.

8. Maintain files and accounts of teacher absences, and notifying substitutes.

9. Responsible for assisting in various activities dealing with the noon meal (sell tickets, lunch count, make reports, Accu-scan and reminder slips).

10. Responsible for various other odd jobs (book rental, work orders, requisitions, requisitioning supplies, distributing material and information, etc.).

11. Maintain files and personnel records.

12. Distribute mail and newsletter.

13. Perform tasks involving preparation of grade cards.

14. Compile and complete all attendance reports and enter atten! dance into the

computer each day if the Child Nutrition Secret! ary is absent.

14. Responsible for children leaving building with designated personnel.

15. Process proper paperwork for students transferring, make sure the student is clear and obtain transfer grades.

16. Act as Registrar, maintaining official student records and sending transcripts.

17. Prepare, type and distribute weekly calendar.

18. Prepare, type and distribute monthly calendar.

19. Compile enrollment report.

20. Assist with Principal's Building Report.

21. Obtain information for the yearly inventory report, enter on computer and distribute to teachers and DC.

22. Assist with end-of-year check out for teachers.

23. Monitor and assist with scheduling of substitute teachers per AESOP and keep calendar.

24. Prepare and calculate time cards, submit claim vouchers and reports to payroll department.

25. Maintain "Log of School Days."

26. Maintain all document! ation for Petty Cash fund receipts, ledgers, check book, etc. Prepare and make deposits for this fund.

27. Prepare and deposit enrollment funds.

28. Maintain medicine log book and distribute medications.

29. Organize and schedule Parent-Teacher Conferences twice a year.

30. Perform other duties and responsibilities as determined by building principal.

31. Distribute keys and maintain key inventory.

32. Complete accident report and investigation reports.

33. Maintains the KIDS files.

Term of Employment: 10.5 Months

Salary Range: $11.32 to $12.32 per hour

Evaluation Frequency: Job performance will be evaluated a minimum of one time per year.
